Change History

An audit record of every change made in this company - who did it, what record it touched and when - with filters by record type, action, user, field and date, plus a CSV export.

What this screen is for

This is the company audit trail. Filter by record type, by action, by the person responsible, by a named field such as selling price, or by a date range, and search by record name, user or email. Re-imports that changed nothing are hidden by default and can be included with a tick box, because a routine catalogue re-import would otherwise bury the real edits. Where you have permission, the results can be exported to CSV.

When to use it

Reach for this when a figure has changed and nobody knows why, when reconciling a disputed record, or during a periodic review of who is doing what. A companion view, Blocked attempts, shows what people tried to do and were refused.

What you see on this screen

Six columns. When gives the time in words with the exact date and time in your company timezone underneath. User names who did it, or System, with their email below and a via line where someone acted on another person behalf. Action is a coloured pill, with the channel underneath when the change did not come from the web app. Record names the record, or its number where the name has gone, with the record type underneath and a deleted marker where the record itself has since been removed. Changes summarises what actually changed, or counts the records affected for a bulk import. History opens the full history of that one record.

Record types include documents, purchase orders, bills, goods received notes, credit and debit notes, customers, vendors, products and variants, employees, salary payments, vehicles, bookings, courses and certificates, customer reviews, warranty claims and templates - filtered to the ones you have permission to see.

Filters and actions

Search matches record name, user or email. Record type, Action and User are dropdowns; Field changed takes a field name such as selling_price; From and To bound the dates. A tick box includes re-imports that changed nothing. Clear filters resets them; Apply runs them. Export CSV downloads the filtered result where your role allows it. Blocked Attempts opens the refused-actions view.

Status values

Actions recorded are Created, Updated, Deleted, Restored, Approved, Rejected, Sent, Converted, Unlocked, Payment Recorded, Imported and Import Rejected.
