What this screen is for
The vehicles that move your goods, both your own and the ones you hire in. Each is recorded with its vehicle number, owner and type, and carries a running account: how many trips it has run, what has been billed on them, what has been paid, and the balance left owing.
When to use it
Register a lorry before you can book trips against it. Come back to it when settling with a hired transporter — the balance column is what you owe them — or to see how much work an owned vehicle has done over a period.
What you see on this screen
Three figures open the screen: Freight billed (by hired lorries), Paid (against those accounts) and Still owed. Where you have paid more than is billed the third card turns green and says the surplus is held with transporters as advances. Any running cost on your own fleet is noted beneath as money spent but not owed to anyone.
The table lists one row per vehicle:
- Lorry — the lorry's name and vehicle number.
- Owner — whose it is.
- Type — whether it is owned or hired.
- Trips — how many runs it has made.
- Billed — the freight charged on those runs.
- Paid — what has been paid against them.
- Balance — what is left owing. This is the settlement figure for a hired transporter.
- Actions — edit the lorry, or record money against it.
Filters and actions
Add Lorry opens the form: vehicle number, lorry name (required), whether it is owned or hired, the vendor it belongs to where hired, the owner's name and phone, and a note.
Money is recorded against a lorry from here too — a payment or advance to a hired transporter, or what an owned lorry cost to run. The two are kept apart deliberately: only the first changes what you owe.
Status values
The Type column carries the distinction that matters on this screen. An owned lorry generates costs but never a balance — there is nobody to pay. A hired lorry generates freight that is billed to you, and its Balance is a real liability until settled.
