Expense Approvals

Expenses that have been submitted and are waiting on a decision, listed with their date, category, vendor and amount, ready to approve or reject with a reason.

What this screen is for

Where expenses need a second pair of eyes before they are accepted, they collect here. Each row shows the date, category, vendor, amount and current approval status, with buttons to approve it or to reject it. Rejecting asks for a reason, which is recorded against the expense rather than communicated separately.

When to use it

Work through this list on whatever rhythm your business uses — daily, weekly, or before a payment run. The approval rules that decide which expenses arrive here are reached from the button in the header.

What you see on this screen

The list holds only expenses awaiting a decision. Its columns are:

  • Date — the expense date
  • Category — the expense category it was recorded under
  • Vendor — who was or will be paid, or a dash where none was named
  • Amount — the amount claimed
  • Status — the approval status the expense currently carries
  • ActionsApprove and Reject

Approving takes effect immediately. Reject opens a box that requires a reason before it will go through; the reason is stored against the expense.

Filters and actions

There are no filters on this screen — it is a queue, and an expense leaves it once a decision is recorded. Approval Rules in the header opens the rules that decide which expenses need approving and who decides them. To see expenses that have already been approved or rejected, use the full expenses list.
