What this screen is for
Designations are the job titles you assign to staff. Each row shows the title, the department it belongs to, the designation it reports to, a description, how many employees hold it, and whether it is active. Titles created before departments were linked show "Not set" rather than a blank, which marks the rows that still need editing. You can search, and add, edit or delete titles here.
When to use it
Define these before adding staff, because designation is asked for on the employee record and appears on promotions and on statutory registers. Revisit it when you introduce a new role or change a reporting line.
What you see on this screen
- Name — the job title.
- Department — the department the title belongs to. Titles created before this link existed read "Not set" in amber, which is how you spot the rows still needing attention.
- Reports To — the job title this one reports to, or a dash where none is set.
- Description — free text describing the role.
- Employees — how many people currently hold the title.
- Status — Active or Inactive.
- Actions — edit and delete.
When there are no designations at all, the table is replaced by a prompt to create the first one.
Filters and actions
- Search designations — a single search box above the table.
- Add Designation — creates a new title.
- The pencil icon edits a row; the bin icon deletes it, naming the title in the confirmation.
Status values
- Active — in use, and offered wherever a designation is asked for.
- Inactive — retained for history, no longer offered.
