What this screen is for
This is the management view of a payroll period. You set a date range and can narrow by department and by slip status — draft, submitted, paid or cancelled. Cards then show how many employees and salary slips are covered, the gross salary, the total deductions, the net payable to staff and the employer cost of contributions such as provident fund and ESI. A headline figure adds gross and employer contributions together as total cost to company.
The whole report can be exported to Excel.
When to use it
After a payroll run, to see what the period actually cost before the money moves, and at period end when someone outside payroll asks what the wage bill came to.
What you see on this screen
Five cards head the page — Employees with the salary slip count beneath, Gross Salary, Deductions, Net Payable and Employer Cost — followed by a wide Total Cost to Company (CTC) panel, which is gross salary plus employer contributions, with the period named beside it.
Below that:
- Earnings Breakdown and Deductions Breakdown — two tables side by side, each with Component, Employees and Amount, so a headline can be traced back to the components that make it up.
- Employer Statutory Contributions — three boxes: Employer PF and Employer ESI, each with the number of employees covered, and Total Employer Cost.
- Department-wise Breakdown — Department, Employees, Gross Pay, Deductions, Net Pay and Employer Cost, with a totals row.
- Status Overview — one box per slip status, with its count and the gross and net behind it.
- Payment Schedule — shown when pay dates exist: Pay Date, Salary Slips and Total Amount.
Filters and actions
- Start Date and End Date — the period the report covers.
- Department — All Departments, or one.
- Status — All Status, Draft, Submitted, Paid or Cancelled.
- Apply Filters — reloads the report.
- Export Excel — exports the report as it is filtered.
Status values
These are the states a salary slip can be in, and what the status filter and Status Overview count:
- Draft — generated, not yet approved.
- Submitted — approved and due to be paid.
- Paid — settled.
- Cancelled — withdrawn.
