What this screen is for

What you actually hold. Each item shows its opening quantity, everything that came in, everything that went out and the balance now, with the number of movements behind it and the date of the last one. Any row opens to reveal those individual movements, each with the document that caused it, so a balance can be traced back rather than taken on trust.

When to use it

Use it to answer "how many do we have", and, when that number looks wrong, to find out why. The filters narrow by warehouse, location, category, brand, variant, attribute or even the invoice a movement came from.

What you see on this screen

Seven cards open it, and each one is clickable as a filter: Total, In Stock, Low Stock, Out of Stock, Negative, Overstocked and Orphaned.

The table:

• Product — the item's name. Sortable.
• SKU — its code.
• Opening — what you held at the start of the period.
• Stock In — everything received, in green.
• Stock Out — everything issued, in red.
• Current Stock — opening plus in, less out. Sortable, and the figure everything else is checked against.
• Movements — how many entries lie behind the balance.
• Last Movement — when stock last moved. A large balance that has not moved in months is a different item from one turning over weekly.
• Status — see below.

Expanding a row lists the individual movements, each with its type, batch number, quantity, the document that caused it, notes and date; and, where batch tracking is on, the batches with their expiry, MRP, quantity, reserved and available figures.

Filters and actions

A filter panel narrows by item, variant, Category, Brand, Manufacturer, Warehouse, Location, Stock Status, Record Type, any product attribute, and an Invoice / Reference box for tracing a specific document. Clicking a summary card applies that status as a filter.

Status values

• In Stock — a healthy balance.
• Low Stock — at or below the minimum set for the item.
• Out of Stock — nothing left.
• Negative — the balance has gone below zero, which means stock was issued that the system never saw arrive.
• Overstocked — above the maximum set for the item.
