Sales Invoices

The tax document. Raising a sales invoice creates a receivable against the customer, records the tax and moves stock. This is the working list for billing and for chasing what is owed.

What this screen is for

The sales invoice is the tax document, and it is the only one in the sales flow that changes your position: raising it creates a receivable against the customer, records the tax and moves stock. This screen is the working list, with Paid, Pending and Overdue totals across the top and columns for invoice number, customer, date, due date, amount and status.

When to use it

This is the day-to-day screen for billing and for chasing what is owed. Filter by status, customer, payment status, salesperson, date range or by an item appearing on the document. Any row can be printed, emailed, shared or downloaded, and rows selected across several pages can be printed as one batch. Spreadsheet import is offered here because it creates tax invoices.

What you see on this screen

Five cards sit across the top, and only on this tab do the money ones appear: Paid (collected), Pending (billed and not yet collected), Overdue (past due), Invoices (how many) and Customers. Each of the first four carries a percentage change against the previous week.

  • Invoice # — the invoice number; click it to open. A teal POS badge marks a sale rung up at a till, and the salesperson is named beneath.
  • Customer — who is billed, with their reference number, a different ship-to address and a linked project underneath.
  • Date — the invoice date, with how long ago it was created below.
  • Due Date — when payment falls due; this is what the Overdue figure is measured against.
  • Amount — the invoice total. A foreign-currency invoice shows the equivalent in your own currency beneath, and notes the booked figure where the money settled at a different rate.
  • Status — the badge, with Email sent and the amount paid so far noted beside it.
  • Actions — view, record payment, edit, print, and a menu with download, duplicate, email, WhatsApp, copy link and history.

Filters and actions

Search by invoice number, customer name or email. Show Filters adds Status, Customer, Payment Status (Outstanding, Unpaid, Partially Paid, Fully Paid), Invoice Date Range, Salesperson, an item search, an amount range and Sort By. Chips give Overdue Only, Show Deleted and the sort direction. Print selected handles ticked rows; Bulk print prints everything matching the filters. Import loads invoices from a spreadsheet.

Status values

  • Draft — not yet issued.
  • Sent — issued to the customer.
  • Viewed — the customer has opened it.
  • Partially Paid — part of the balance has been received.
  • Paid — settled in full.
  • Overdue — past its due date and still owing.
  • Cancelled — withdrawn.

Paid and Partially Paid are worked out from the payments recorded and cannot be set by hand; the others can be changed from the badge.
