New Booking

Create an appointment: choose the customer and instructor, the lesson or product, the location and the date and time.

What this screen is for

This form books an appointment. You select the customer — searching by name, phone or email, and adding a new one without leaving the page if needed — then the instructor, the lesson or product being delivered, and the location. Once a customer is chosen, their phone, email and address are shown on the page, with a link that opens their full record in a new tab so the half-completed form is not lost. The date and time section follows.

When to use it

Use it whenever an appointment needs creating away from the calendar. The form helps as you go: it notes who last taught this customer, tells you when the lesson list has been narrowed to what the chosen instructor teaches, and flags a location that is not one of their regular centres.

What you see on this screen

Booking Details takes the Customer, the Instructor, the lesson or Product and the Location. Notes beneath each field explain what has been chosen for you: who last taught this customer, how many lessons the chosen instructor teaches, and which of the centres listed are ones they normally cover.

Date and Time takes the Date, Start Time and End Time, all required, and shows Available Slots for the instructor on that date. A tick lets you book anyway when the instructor is already busy, has blocked the time off or is outside their working hours — that choice is recorded against your name. Who's free at this time? searches for other instructors available then, within a tolerance of exactly this time, ten minutes, thirty minutes or an hour, and says of each whether they cover the area and whether they have taught this customer before. A plan section lets you add further lessons for the same customer, instructor and lesson, changing only the date and time; they are booked together or not at all.

Pricing shows the customer's history — lessons so far, taught, still to come, cancelled and no-show — and, where they hold a package, whether this lesson can be drawn from it or must be charged. It then takes Price, Discount, Travel Charge and Distance, and gives a Total. Notes takes internal notes and notes the student can see, and pickup and dropoff addresses can be shown and filled.

Filters and actions

Create Booking saves. Where the lessons are chargeable, a final prompt asks whether to raise an invoice: Create invoice raises one per lesson so any of them can be cancelled independently, and Just book it leaves the lessons booked and invoiceable later. If the customer still has prepaid lessons on a package, the prompt says so before you charge them twice.
