What this screen is for
The catalogue: every product and service you buy, sell or hold, with its name, SKU, category and price. You can search by name, SKU, barcode or HSN, filter by category, supplier, principal or status, and change several items at once rather than opening each in turn.
When to use it
This is where an item is first created and where its details are kept correct. Almost everything downstream points back here — an invoice line, a stock figure, a price group entry, a reorder alert — so an item entered carelessly is wrong in several places at once, and often in places nobody thinks to check.
What you see on this screen
Six cards open the screen: Total Items, Active, Inactive, Low Stock, Out of Stock and Stock Value.
Tabs then split the catalogue by kind, each with a count: All Items, Products, Services and Bundles. A service holds no stock; a bundle is made of other items.
The table:
- Items — the item's name. Sortable.
- SKU / Barcode — its codes. Sortable.
- Category — where it sits in your catalogue.
- Custom field columns — any custom fields you have defined appear here, each under its own label.
- Price — the selling price. Sortable.
- Stock — what is on hand. Sortable, and blank for items whose stock you do not track.
- Status — Active or Inactive.
- Actions — view, edit and delete.
Rows can be ticked, including all at once, for changing several items together.
Filters and actions
Search matches name, SKU, barcode and HSN. Dropdowns filter by Category, Principal (where field sales is in use) and Status, with Clear.
Chips add: Low Stock Only, Out of Stock Only, Show Deleted or Deleted Only, a tracking cycle (All Tracking, Tracked Only, Untracked Only), the sort direction, Has Variants, Has Suppliers, and a supplier picker.
With rows ticked, the bulk panel can change quantity, switch inventory tracking on or off, and set status active or inactive — each with a No change option so you alter only what you mean to.
Status values
- Active — sellable, and offered when raising documents.
- Inactive — kept, with its history and stock, but withdrawn from everyday use.
