What this screen is for
Where a cylinder movement is entered: how many full cylinders went out to a customer and how many empties came back, on a given date and for a given cylinder type. An adjustment can also be recorded, for the times a count has to be corrected outside the ordinary out-and-back cycle.
When to use it
Enter it as the exchange happens, or when the van returns. Every balance and every history entry is built from what is recorded here, so an unrecorded return leaves a customer permanently holding cylinders they have in fact already given back — and eventually being chased for them.
What you see on this screen
The page holds two forms and a running panel.
This delivery is the everyday one: Customer and Cylinder type (both required), Date, Full cylinders issued, Empty cylinders returned and an optional Notes. Beneath, the screen states what the customer's balance will be after saving, and warns in amber if the entry would leave them negative — which usually means an opening balance is missing rather than that the figures are wrong.
Opening balance or write-off is deliberately separate, because neither is a delivery. It takes the customer, the cylinder type, a Type of entry, the date, a quantity and notes. The two entry types are:
- Opening balance (they already hold these) — what a customer was holding on the day you started keeping this record. Use it to correct a negative balance.
- Write-off (lost or damaged) — cylinders that will not be coming back. It clears them from the customer's holding without pretending they were returned.
Currently holding, down the side, shows every type the chosen customer holds and how many, so an over-issue is visible before you save. It links through to their full history.
Filters and actions
Record saves a delivery; Record adjustment saves an opening balance or write-off. Neither button is available until something has been entered. Balances returns to the main list.
