What this screen is for
This form registers a new asset in the system. An asset added here joins the register and can then be assigned to a person, put through maintenance, transferred, depreciated and eventually retired. The form offers the asset categories your company has set up, the people it can be assigned to, and the asset accounts it can be linked to for accounting.
When to use it
Use it as soon as equipment is bought or received, before it is handed to anyone. Registering it at that point is what allows the purchase value, warranty and maintenance schedule to be tracked from the beginning rather than reconstructed later.
What you see on this screen
Asset Information — Asset Number, required and arriving filled in with the next number in the sequence; Asset Name, required; Category; Condition, one of Excellent, Good, Fair or Poor and starting at Good; and a Description.
Purchase Details — Purchase Date, required and starting at today; Purchase Price, required, in your company's currency; then Serial Number, Model Number, Manufacturer, Location, Barcode / Tag ID, and an Asset Image of up to 5MB as JPG, PNG or WebP.
Depreciation Settings — Salvage Value, what the asset is expected to be worth at the end of its life, and Useful Life (Years), which starts at five.
Assignment — a tick to issue the asset to somebody straight away, which reveals a searchable list of people.
Accounting — Asset Account, Depreciation Account and Expense Account, each searchable, tying the asset into the books.
Notes — anything else worth recording.
Filters and actions
Save Asset creates the record and Back to Assets leaves without saving. An asset saved without the assignment tick is registered as available, ready to be issued later from the register.
