Applicants

The candidate database: one profile per person, with contact details, source, experience and how many applications they have made.

What this screen is for

An applicant is a person, separate from any one application they make. Each row shows their name and applicant number, email and phone, the source they came from — website, LinkedIn, referral, job board, agency, walk-in or other — their years of experience, and how many applications they have to their name. You can search by name, email or phone and filter by source and by skill, and export the filtered list as a CSV.

When to use it

Use it when you want to look someone up as a person rather than as a candidate for one job — for instance to see whether they have applied before, or to search past applicants by skill when a new vacancy opens.

What you see on this screen

  • Applicant — the person's name, with their applicant number underneath.
  • Contact — email, with phone beneath it where one is held.
  • Source — where they came from, or a dash.
  • Experience — years of experience, or a dash where it is not recorded.
  • Applications — how many applications they have made.
  • Actions — view, edit and delete.

While nothing matches, the table is replaced by a prompt to add a new applicant.

Filters and actions

  • Search by name, email or phone — a box above the table; the list narrows as you type.
  • Show Filters — opens Source and Skill, with a Reset button. Skill is typed in, so you can look for anyone with a particular competence.
  • Export CSV — exports the list as currently searched and filtered.
  • Add Applicant — creates a profile by hand.
  • Delete — asks for confirmation, repeats the name and email, and warns that it also removes all of that person's applications.

Status values

An applicant carries a source rather than a status. The values offered are Website, LinkedIn, Referral, Job Board, Agency, Walk-in, API — an application that arrived through the public interface — and Other.
