What this screen is for
Departments are the organisational groupings used throughout Payroll. The list shows each department's name, its parent department if it sits under another, the number of employees in it and whether it is active or inactive. The employee count is a link: clicking it opens the employee list already filtered to that department. You can search the list, and add, edit or delete departments from here.
When to use it
Set these up before adding staff, since department is asked for on the employee record and is used to filter payroll runs and reports. Come back when the organisation changes shape — a new team, a merged function, a department that is no longer used.
What you see on this screen
- Name — what the department is called.
- Parent Department — the department this one sits under, or a dash where it stands on its own.
- Employees — how many people are in it. Where the count is above zero it is a link through to the employee list, filtered to that department.
- Status — Active or Inactive.
- Actions — edit and delete.
The list is paged, with a line beneath it saying which rows of the total you are looking at.
Filters and actions
- Search departments — a single search box above the table; the list narrows as you type.
- Add Department — creates a new one.
- The pencil icon on a row opens it for editing; the bin icon deletes it, after a confirmation.
Status values
- Active — in use, and offered wherever a department is asked for.
- Inactive — kept for history, but no longer offered.
