Email Receipts

Connected Gmail or Outlook mailboxes that are swept for receipts and invoices, with an inbox view, the receipts found, and a log of each sync run.

What this screen is for

Many receipts arrive by email rather than on paper. Connecting a mailbox lets the system fetch and read them without anyone forwarding each one. The top of the screen shows each connected account, when it last synced, a summary of the last run — how many messages were fetched, parsed and skipped — and buttons to sync now, change its settings or open the run log. Below that, three views switch between the inbox, the receipts found, and messages the system has sent.

When to use it

Set a mailbox up once, then come back to run a sync on demand or to check why a run failed. Mailboxes are connected under Settings, and a message is offered there if none are yet linked.

What you see on this screen

Each connected account shows its address, its provider, when it last synced (or Never synced) and, where a run has happened, the last run's counts of fetched, parsed and skipped — or a warning that the last run failed, which opens the log.

Three views follow. Inbox lists matched business emails with sender, subject, snippet, category label, how long ago it arrived, an attachment marker and a star, and can be narrowed to unread or starred. Receipts is the table of documents found:

  • Email — the subject, with the attached file name beneath
  • From — the sender's address
  • Vendor — the vendor read from the document
  • Amount — the total read from it
  • Status — how far the receipt has got
  • Date — the email date, with how long ago beneath
  • Actions — view, mark as ignored, delete

Four cards sit above it: Total Emails, Parsed, Expenses Created and Failed. Sent / System is the third view.

Filters and actions

On the Receipts view: Search subject, sender, then Show Filters for Status and Account, plus chips for Parsed, Failed, Ignored, Show Deleted / Deleted Only and Newest First / Oldest First. Sync Now fetches from one account on demand; the clock icon opens its run log and the cog its settings. Receipt Scanner in the header opens the same records alongside manual uploads.

Status values

  • Pending — fetched, not yet read
  • Parsed — read successfully
  • Expense Created — an expense has been raised from it
  • Invoice Created — an invoice has been raised from it
  • Failed — it could not be read
  • Ignored — set aside deliberately
