Custom Fields

Add your own fields to records such as products, customers, vendors and employees, and to sales and purchase documents. Industry templates can create a starter set in one step.

What this screen is for

When the standard fields do not capture something your business needs to record, you add it here. The tabs across the top select which kind of record you are working on, each showing how many fields it already has. For a record type with no fields yet, industry templates offer a ready-made set you can preview before applying. Fields are listed with their label and can be reordered.

Why it matters

A field added here appears on the forms for that record from then on, for everyone. Removing a field also removes the values already captured in it, so retire one only when you are sure nobody is relying on the data.

What you see on this screen

Tabs run across the top for Products, Customers, Employees, Vendors, Company, Bookings, Contacts, Leads, Sales and Purchase, each with a count of the fields it holds.

The table has a drag handle for reordering, then Field Label (with the internal field name underneath), Field Type, Options, Status and Actions. The Options column carries badges for Required, Unique, Show in List and Staff-editable.

Adding a field asks for Field Label and Field Type (both required), then optional settings: a description used as help text, and tick boxes for Required Field, Unique Values and Show in List. A dropdown field also needs its list of options. On product, sales and purchase records you additionally choose Document Placement - top of the document, a line item column, or a line item description printed under the product - plus Show in Purchase, Show in Sales and Show on Print or PDF. On employees, Staff can edit their own lets the person change the value from their own profile.

Filters and actions

There is no search or filter. Add Custom Field creates one. Where a record type has no fields yet, industry templates (Electronics, Pharmaceutical, Garments, Automotive and eight more) can be previewed and applied in one step. Rows can be dragged to reorder, toggled active or inactive, edited or deleted.

Status values

The available field types are Text, Number, Dropdown, Date, Checkbox, Textarea, Color Picker and File Upload. Each field is Active (shown on forms) or Inactive (hidden, with its saved values kept).
