Email Templates

The reusable email templates your campaigns draw on, with counts by channel, filters for status, and the ability to create, edit and review version history.

What this screen is for

This is the campaign template library filtered to email. Cards count templates in total and by channel, and the list can be searched and narrowed by channel and by status - draft, approved or rejected. Opening a template shows its detail and version history, and new templates are created locked to the channel you came in on.

When to use it

Build a template when the same message will be sent more than once, or when the wording needs reviewing before anyone can use it. Campaign templates carry an approval status, so a template still in draft is not ready to be sent from a campaign.

What you see on this screen

Four counters: Total Templates, Email Templates, SMS Templates and WhatsApp Templates. They count the whole library, so the email figure is the one that matters here.

The table lists Template Name, Channel, Admin Approval, WhatsApp Status, Category, Last Updated and Actions. On an email template the WhatsApp Status column is not applicable and reads as a dash, and the Admin Approval column is likewise marked as applying only to SMS - internal sign-off exists for SMS content, not for email.

Row actions are View, Edit, Duplicate and Delete. Opening a template shows its content and its version history, so you can see what the wording was before someone changed it.

Filters and actions

Show Filters reveals Search, Channel (All Channels, Email, SMS, WhatsApp) and Status (All Status, Draft, Approved, Rejected), with Reset. New Template creates one, locked to the channel you arrived on. Deleting shows the name and channel and warns that it cannot be undone.

Status values

Draft - being written, not yet cleared for use. Approved - cleared and usable in a campaign. Rejected - sent back; open it to read why.
