What this screen is for
This report compares what each project was budgeted against what it has spent. Four tiles summarise the total budget, the total spent with the percentage utilised, the remaining balance, and how many projects are over budget or in warning. The table below lists each project with its client, budget, spend, remaining amount, utilisation and status.
Filters narrow the list by project status and by budget status, and the report can be printed.
When to use it
Use it before committing further spend, and in any review where the question is whether a project will finish within the money set aside for it.
What you see on this screen
- Project — the name and code, opening the project.
- Customer — the client it is for.
- Budget — the amount set aside.
- Spent — expenses plus purchase bills recorded against it.
- Remaining — budget less spend, shown in red once it turns negative.
- Utilization — spend as a percentage of budget, with a bar that turns yellow at 80 and red at 100.
- Status — the budget verdict rather than the project's own status.
The tiles above give Total Budget, Total Spent with the percentage utilised, Remaining, and a count of projects over budget and in warning.
Filters and actions
Two lists narrow the report: the project status, and the budget status. Reset clears both, and Print Report is the only output.
Two things are worth knowing before reading it. Only projects that actually carry a budget appear at all. And there is no date filter — Spent is everything ever recorded against the project, not a period, which is what makes it comparable with a budget set for the whole job.
Status values
- Over Budget — spend has reached or passed the budget.
- Near Limit — between 80 and 100 per cent used.
- On Track — between 50 and 80 per cent used.
- Under Budget — less than half the budget used.
