Tags

The company-wide tag list. Tags are short coloured labels used to categorise records across the system, and each shows how many times it is in use.

What this screen is for

Tags are short labels, each with its own colour, used to categorise records across the application. This screen is where the list is maintained. Each tag shows its name, its colour and how many times it is currently used, and a search box finds one by name. A tag carries an optional description, and an existing tag can be made inactive rather than deleted.

Because the list is shared, a tag created here becomes available everywhere tags are offered.

When to use it

Come here to add a new label before you start applying it, to correct a name or colour that is being misread, or to retire one that is no longer used. Check the usage count before deleting: a tag in use is attached to real records.

What you see on this screen

Tags are shown as a grid of small cards, each carrying:

  • Colour dot — the colour the tag is drawn in wherever it appears.
  • Tag name.
  • Used N times — how many records currently carry it.

Filters and actions

A single search box finds a tag by name. Add Tag opens the form, and each card offers edit and delete.

The form takes a Name (required), a Color from a picker or one of ten presets, and an optional Description. Editing an existing tag adds an Active tick, which is how a tag is retired without removing it from the records that already use it.

Deleting shows the tag and its usage count first, and warns that it cannot be undone.
