What this screen is for
Each van's day as a single reconciled round: what it loaded, what it delivered, how many full cylinders came back unsold and how many empties it collected. A round is either still out or back and reconciled, and the list can be filtered to either state.
When to use it
Open a round when the van is loaded and close it when it returns, checking the figures against what the driver hands in. It is the control that catches a shortfall on the day it happens, rather than weeks later when the stock is gone and nobody can recall which round it went out on.
What you see on this screen
An amber banner at the top counts rounds that are still out, so an unreconciled van cannot be missed in a list sorted by date.
The table lists rounds newest first, and clicking a row opens it:
- Date — the day of the round, with a sequence number where a van ran more than once that day.
- Van — which vehicle went out.
- Driver — who took it.
- Loaded — full cylinders loaded at the depot.
- Delivered — full cylinders handed to customers. Shown in bold, as the figure the round exists to produce.
- Back full — full cylinders returned unsold.
- Empties in — empty cylinders collected from customers.
- Status — Out on the round, or Back and reconciled.
Loaded should equal delivered plus back full. Where it does not, the difference is a shortfall, and this is the day it is cheapest to find.
Filters and actions
A single dropdown filters the list: All rounds, Out on the round, or Back and reconciled. New Round opens a round for a van; Customer balances returns to the main cylinder list.
Status values
- Out on the round — the van has been loaded and the round is still open. Nothing has been reconciled and the stock is unaccounted for.
- Back and reconciled — the van has returned and the figures have been checked and closed. A round left open is the one to chase.
