What this screen is for
A general ledger shows the movements on one account. You choose the account and the date range, and the screen lists every transaction that touched it in that period, headed by the account's full name, its type, its code, the period and how many lines were found.
When to use it
Use it when a balance elsewhere looks wrong or unexplained and you need to see what made it up. It is the level below a trial balance or a set of accounts: the trial balance tells you the figure, the general ledger tells you which transactions produced it. The report can be printed, previewed, downloaded as a PDF, or taken as a CSV that opens in a spreadsheet.
What you see on this screen
The account header names the account and gives its type, Code, Period and Transactions count. Four cards follow:
- Opening Balance — the account's balance the day before the period starts
- Total Debit — every debit posted to the account in the period
- Total Credit — every credit posted to it in the period
- Closing Balance — the opening balance adjusted by those debits and credits
The table opens with an Opening Balance row, then one row per line with Date, Entry # (linking to the journal entry), Reference (the source document, linked where one exists), Description, Debit, Credit and a running Balance after each line. A Period Totals row gives the debit and credit totals with the Net movement — what the period changed the balance by, signed — and a Closing Balance row closes the ledger.
Filters and actions
Account is a searchable picker and is required; Date Range sets the period; Search loads the ledger. Once loaded, a second box searches within the rows already on screen by entry number, reference, description or amount, reporting how many of the lines match — and, when nothing matches, it says so rather than reporting the account as empty.
Print, Preview, PDF and Excel sit in the account header.
