Report Schedules

Saved reports set to be emailed automatically, with the frequency, file format, number of recipients, next send time and whether the schedule is running or paused.

What this screen is for

A schedule takes a saved report and emails it on a repeating basis, so the people who need it receive it without anyone remembering to send it. Each row shows which saved report is being sent, how often, in what format, to how many recipients, when it next goes out and whether it is active or paused.

When to use it

Set a schedule up for reports that are wanted on a rhythm — a weekly sales summary, a monthly set of accounts for an accountant. The report has to exist as a saved report first, because a schedule sends an existing configuration rather than defining a new one.

What you see on this screen

The list carries seven columns:

  • Report — the name of the saved report this schedule sends
  • Frequency — how often it goes out: daily, weekly or monthly
  • Format — the file the recipients get: PDF, CSV or XLSX
  • Recipients — how many addresses are on the schedule
  • Next Send — when it is due to go out next, or a dash where no next run is set
  • Status — Active or Paused
  • Actions — a delete button

A schedule also carries a send time, set when it is created, so a daily schedule goes at a fixed hour rather than whenever the day turns.

Filters and actions

There are no filters — this is a short list of the schedules you have set up. New Schedule in the header creates one, taking the saved report, the frequency, the format, the recipients and the send time. Deleting a schedule stops the emails; it does not remove the saved report behind it.

Status values

  • Active — running; the report goes out at each due time
  • Paused — kept with its settings but not sending
