Customer Outstanding

The receivables ageing report: every unpaid and part-paid sales invoice grouped into ageing buckets, so you can see not only how much is owed but how long it has been owed.

What this screen is for

The receivables ageing report. It lists every unpaid and part-paid sales invoice and groups them into ageing buckets, so you can see not only how much is owed but how long it has been owed. It can be filtered to one customer, one sales executive or one ageing bucket.

When to use it

This is the collections screen. Work it when chasing payment, before extending further credit to an existing customer, and at period end when judging how much of the debtor balance is genuinely likely to arrive. Rows link straight through to the invoice, and a payment can be recorded without leaving the report.

What you see on this screen

Four cards open the report. Total Outstanding carries the invoice count beneath it and, where they exist, lines for unapplied credit notes and credit held on account, with a Net figure — the debt after the credit you already hold. Overdue is the part past its due date, Total Billed the gross value, and Payments Received what has come in.

Aging Summary then shows six clickable tiles: All, Current, 1-30 Days, 31-60 Days, 61-90 Days and 90+ Days, each with its value and invoice count. Clicking one narrows the list below to that bucket.

The table lists one row per unpaid invoice:

  • Invoice — the invoice number; opens the invoice.
  • Customer — who owes it.
  • Invoice Date — when it was raised.
  • Due Date — when it fell due; the ageing is measured from here.
  • Age — how long it has been outstanding.
  • Total — the invoice value.
  • Due — what is still owed on it, which is the figure to chase.
  • Actions — record a payment against the invoice without leaving the report.

Filters and actions

Show Filters opens Search, Customer, Sales Executive and a page size. Picking an executive scopes the entire page — cards, buckets and list — and a banner says so plainly, with a link back to everyone; without it one person's book reads like the company's.

Print produces the standard report document; Export gives Excel, CSV or a landscape PDF. Invoice, date, due date, total and due headings all sort.
