Warranty Claims

Tracks tyres returned under warranty and where each one has got to. Unresolved claims sort above settled ones, and claims sitting with the manufacturer show how long they have been there.

What this screen is for

This screen exists for chasing. Three counters answer the usual questions: how many claims are open, how many are with the manufacturer and how old the oldest of those is, and how many tyres were replaced but not yet settled, leaving the shop out of pocket. Tabs filter to all claims, open ones, those with the manufacturer, or those where the shop is out of pocket. Claims move through received, sent, under review, approved, rejected and closed, and the list puts everything unresolved above everything settled. Days with the manufacturer are highlighted as they age.

When to use it

Work through it regularly, since a claim nobody chases simply sits. Search by claim number, tyre serial, submission reference, customer name or vehicle registration, and use Raise Claim to start a new one.

What you see on this screen

Three counters, each of which applies its own filter when clicked: Open claims; With the manufacturer, which also names how long the oldest has been out; and Replaced, not yet settled.

The table has five columns:

  • Claim — the claim number, the date it was raised, and the reference where one has been given
  • Customer / Vehicle — who brought it in and which vehicle
  • Tyre — the manufacturer, the quantity and the serial number
  • Status — with a second line reading Tyre already replaced where the shop is out of pocket, or Customer waiting where the replacement is held until the claim settles
  • With maker — how many days the claim has been with the manufacturer, amber as it ages and red once it is old, or Not sent where it has not gone yet, plus the date it settled

A line beneath reads which claims are on display out of the total. Unresolved claims sort above settled ones, then by claim date.

Filters and actions

Four tabs: All claims, Open, With manufacturer and Shop out of pocket. A search box covers claim number, tyre serial or DOT code, docket reference, customer name and vehicle registration. Raise Claim starts a new one.

Status values

A claim holds one of six values, shown with the underscore replaced by a space:

  • received — logged at the counter, not yet sent
  • sent — submitted to the manufacturer
  • under_review — the manufacturer is assessing it
  • approved — accepted
  • rejected — refused
  • closed — finished with

The first three count as open. Separately, a claim records how it was settled, as replaced, credit, pro_rata or rejected, and whether the replacement was given immediately or held on settlement, which is what decides whether the shop or the customer is waiting.
