Saved Reports

Report configurations saved from elsewhere in the system, each with its type, date range and whether it is shared with colleagues.

What this screen is for

When you set a report up with particular filters and a particular period, that configuration can be saved rather than rebuilt each time. This screen lists those saved configurations with their name, report type, date range and whether they are shared with other users, and lets you open or delete one. Saved reports are created from the report pages themselves, not from here.

When to use it

Use it when the same report is wanted repeatedly — a monthly management pack, a recurring review — and you would rather not reconstruct the filters each time. A saved report can also be put on a schedule so it arrives by email without anyone opening it.

What you see on this screen

The list carries five columns:

  • Name — what the saved configuration was called; the link opens it
  • Type — which report it is: Profit and Loss, Balance Sheet, Trial Balance, Sales by Customer, Sales by Product, Expense by Vendor, Expense by Category, AR Aging, AP Aging, General Ledger, Cash Flow or Tax Summary
  • Date Range — the period the configuration was saved with, either a named range or the start and end dates
  • Shared — Yes where colleagues can see and use it, No where it is yours alone
  • Actions — a delete button

Where the list is empty, the screen reminds you that a report configuration is saved from the report page rather than created here.

Filters and actions

Search reports narrows by name, and All Types filters to a single report type. Scheduled Reports in the header opens the schedules that send these configurations by email. Deleting asks you to confirm and names the report.
