Roles & Permissions

Review the permissions held by each system role, adjust a system role for your own company, and create custom roles with a specific set of permissions.

What this screen is for

The page shows every role side by side against the full permission list, grouped by module, with counts of system roles, custom roles, total permissions and your own role. You can search the permissions or narrow to one module. Custom roles can be created, edited, deactivated or deleted from here, and a system role other than owner can be customised so its permissions differ for your company; a role changed this way is marked as customised.

Why it matters

These settings decide what other people can see and do, so a permission granted here applies everywhere that role is used. Removing a permission can make screens disappear or actions fail for colleagues without any obvious explanation, so change roles deliberately and tell the people affected.

What you see on this screen

Five counters run across the top: System Roles, Custom Roles, Permissions, Modules and Your Role.

Where you have created custom roles, a Custom Roles card lists each with its description and permission count. A legend strip below shows every role as a chip tagged System or Custom, marked Customized where your company has altered it, with buttons to customise it or reset it to the system default.

The permission matrix is one collapsible card per module. Each has a Permission column, an Action column showing what kind of action it is (View, Create, Edit, Delete, Export, Import, Send, Print, Approve, Manage, Process, File, Own Only, Assigned, Adjust, Restore, Invite, Configure), then one column per role with a tick or a cross.

The standard roles are Owner, Administrator, Project Manager, Accountant, Employee, HR Manager, Marketing, Salesperson, Auditor, Operations Manager and Viewer. Modules with no subscription are left out of the matrix entirely.

Filters and actions

Show Filters reveals a Search box over permission names and a Module filter. Create Custom Role opens a form with Role Name (required), Description and the permission tick list, with a running count of how many are selected; at least one permission is required. The pencil on a system role chip opens the same form to customise it for your company only, and the reset button puts it back to the default.
