Users & Roles

Invite team members and auditors, see how many seats your plan allows and how many are used, and manage each person role and status.

What this screen is for

This is where people are given access to the company. You can invite a member or invite an auditor, and the banner at the top shows how many user and auditor seats are in use against your current plan, with a link to upgrade if you are short. The list can be searched by name or email and filtered by role and by status, so you can see who has accepted and who is still pending. A history view records changes to access.

Why it matters

Inviting someone grants them access to this company data. The role you give decides what they can see and do, so it is worth checking the role definition before assigning it. Seat limits come from your subscription, and invitations are refused once the limit is reached.

What you see on this screen

Three figures sit above the list: Users and Auditors, each shown as used against allowed with the slots remaining, and Current Plan with a link to upgrade.

The table has seven columns. User shows the person name and email, and links to their employee profile where one is attached. Role is the role badge. Status is where the invitation has got to. Invited By names who sent the invitation, or System. Date is when the invitation was made. Last Activity is when they were last seen, or Never. Actions holds Change Role, Link to employee, Reset MFA, Resend Invitation and Remove User.

Opening Last Activity shows that person devices, active mobile sessions and web login history, with counts for web logins, mobile devices, active sessions and last mobile use.

Filters and actions

Search by name or email; filter by role (All Roles, Owner, then every role you may assign) and by status. Rows per page can be set to 10, 25, 50 or 100. Invite Member and Invite Auditor send an email invitation; History opens the record of who invited, changed a role, or removed someone.

Status values

Pending - invited, not yet accepted; the seat is held. Active - the invitation was accepted and the person can sign in. Rejected - the invitation was declined.
