What this screen is for
This report sets each project's income against its expenses for a date range and reports the resulting profit or loss. The period is set with a from and to date, with one-click choices for this month, last month, this quarter and this year, and the list can be narrowed to projects of a particular status.
When to use it
Run it at the close of a month or a quarter, when the question is which projects earned their keep and which cost more than they brought in. It is the financial companion to the delivery reports, which measure effort rather than money.
What you see on this screen
Four tiles head the report: Total Income, Total Expenses, Net Profit/Loss and Profit Margin. The table beneath gives every project a row:
- Project — the name with its code.
- Customer — the client the work is for.
- Status — the project's status.
- Budget — the amount set aside. This is the project's stored budget and is not limited by the dates above, unlike every other figure in the row.
- Income — invoices dated inside the period. Drafts and cancelled invoices are left out, and only sales invoices count, so quotations and proformas do not inflate it.
- Expenses — expenses plus purchase bills dated inside the period.
- Profit/Loss — income less expenses.
- Margin — that profit as a percentage of income. A project with no income reads 0 rather than a large negative number.
A closing row totals the columns and states how many projects it covers.
Filters and actions
Show Filters opens the period controls: quick choices of This Month, Last Month, This Quarter and This Year, a Start Date and End Date for anything else, and a project status list. Reset returns to the current month. Print Report is the only output; there is no export.
Projects with no activity in the period still appear, at zero.
