Stock by Branch

Stock levels split by branch rather than totalled across the business: each item's quantity at each place, the minimum set for it, and whether it is low or out of stock there.

What this screen is for

Stock levels split by branch rather than totalled across the business: each item's quantity at each place, alongside the minimum you have set for it and whether it is low or out of stock at that location.

When to use it

Use it wherever you trade from more than one location. A company-wide total can look perfectly comfortable while one branch has an empty shelf, and this is the screen that shows the difference — and, just as usefully, tells you which branch has the surplus to move it from.

What you see on this screen

One row per item per branch, so the same item appears once for each place that holds it:

  • Branch — the location the figures are for.
  • Product — the item.
  • SKU — its code.
  • Branch Qty — what that branch is holding. This is the number the shelf will agree with, and the one a company-wide total hides.
  • Min Stock — the minimum set for the item, or a dash where none has been set. Without one, nothing at that branch can ever be reported as low.
  • Status — see below.

Reading the same item down several branches is the point of the screen: it shows both the branch that has run out and the branch that could supply it.

Filters and actions

Three controls sit above the list: a Search box matching item name or SKU, a Branch filter with All branches as the default, and a Status filter.

Where no per-branch stock exists the screen says so plainly, which usually means stock is not being recorded against locations rather than that there is none.

Status values

  • In Stock — the branch holds more than its minimum.
  • Low Stock — the branch has fallen to or below the minimum set for that item. It is worth acting on before it becomes the next line.
  • Out of Stock — the branch holds none, whatever the company total says.
