What this screen is for
The places you keep stock. Each warehouse is recorded with its type, the manager responsible for it, where it is, how many storage locations it contains and its capacity, and one is marked as your main warehouse.
When to use it
Set these up before you begin tracking stock by place. Once they exist, stock levels, branch reporting and storage locations all hang off them, so adding a warehouse after you are trading means deciding what its opening position is and moving stock into it deliberately rather than discovering it there.
What you see on this screen
One row per warehouse:
- Warehouse — its name and code.
- Type — Main Warehouse, Branch, Transit or Cold Storage; see below.
- Manager — who is responsible for it, with their email beneath.
- Location — the town, with the state beneath.
- Locations — how many storage positions have been defined inside it: racks, shelves, bins and so on.
- Capacity — how much it can hold.
- Status — Active or Inactive. An inactive warehouse keeps its history but is not offered when stock is moved.
- Actions — edit or delete.
The form behind Add Warehouse takes the name, a code that is generated if left blank, the type, the manager's name and contact, the address, the capacity and any notes.
Filters and actions
A search box matches warehouse names. Add Warehouse opens the form.
Status values
The Type column is the one that shapes how a warehouse behaves in reporting:
- Main Warehouse — your principal store, and the default for movements where no other is named.
- Branch — a location that trades as well as stores. This is what Stock by Branch and Sales by Branch split figures across.
- Transit — stock in motion between two places; it is yours, but it is neither at the origin nor at the destination.
- Cold Storage — temperature-controlled, and the type to pick where what you store must be kept cold.
Separately, Active or Inactive decides whether a warehouse is in service at all.
