Calendar Sync

Connects your Google, Microsoft Outlook or Apple calendar so your bookings appear there automatically, with two-way sync, a choice of which calendar to use, and a manual sync now option.

What this screen is for

This connects your work diary to the calendar you already use. Google and Microsoft Outlook connect by signing in; Apple iCloud has no sign-in for calendars, so it asks for your Apple ID and an app-specific password instead. Once connected you choose which calendar to sync to, and your bookings appear in it automatically. Connected calendars are listed with options to sync now, reconnect or switch account, and disconnect.

When to use it

Set it up once so you are not checking two diaries. Come back if a connection stops working, if you change the password on the linked account, or if you want to point the sync at a different calendar.

What you see on this screen

An intro card headed Two-way calendar sync explains what that means in practice: your bookings are created, rescheduled and cancelled in your personal calendar for you, and the busy times already in that calendar are respected when new bookings are scheduled.

Connected calendars lists what is already linked. Each row shows the provider, the account email it is connected to, and when it last synced, with Sync now and Disconnect buttons.

Add a calendar offers three cards, with a tick on any provider already connected:

  • Google CalendarSign in with Google, or Reconnect / switch account
  • Microsoft / OutlookSign in with Microsoft, or Reconnect / switch account
  • Apple iCloudConnect with app password, or Reconnect

Choosing Apple opens a short form explaining that Apple has no sign-in for calendars and that you need an app-specific password created in your Apple ID security settings. It takes your Apple ID email and the app-specific password, then, where the account holds more than one calendar, asks which to sync to.

Filters and actions

Sync now pushes a refresh immediately rather than waiting. Disconnect asks you to confirm and warns that bookings will stop syncing to that calendar. Reconnect / switch account is the route to use when a connection has stopped working or you want to point it at a different account. Messages confirm each outcome, including a specific one telling you to check your app-specific password when Apple refuses it.
