What this screen is for
United States reporting requires payments to contractors above a threshold to be declared. This screen totals what you have paid each vendor in a given year and marks those over the threshold as eligible. Cards give the number of vendors, how many are eligible and the total paid. Each row shows the vendor, their tax identifier, how many payments were made, the total paid and whether they are above or below the threshold.
When to use it
Use it at the end of a tax year to work out which vendors need reporting, and during the year to see who is approaching the threshold. The year and the threshold are both yours to set, and you can show only eligible vendors.
What you see on this screen
Three cards:
- Total Vendors — how many vendors were paid anything in the year
- 1099 Eligible — how many of them exceeded the threshold
- Total Payments — everything paid to vendors across the year
The table carries:
- Vendor — the vendor name, with their email beneath
- Tax ID — the vendor's tax number, or a dash where none is recorded; a missing one here is worth filling in before reporting
- Payments — how many separate payments made up their total
- Total Paid — everything paid to that vendor in the selected year
- Status — 1099 Eligible or Below Threshold
Filters and actions
Show Filters opens Year, Threshold and an Only Eligible tick, each applying as you change it, with Reset. Both the year and the threshold are yours to set, so the same data can be read against a different limit without changing anything in the books.
Status values
- 1099 Eligible — the vendor's total for the year exceeds the threshold you have set
- Below Threshold — their total is at or under it
