What this screen is for
This is where venues are set up. Each hall carries a name and optional short code, the start and end times that define its day, its capacity, the default rent and deposit, the GST rate applied and how occupied it currently is. Where the end time falls before the start time the day runs past midnight, and the screen notes that a one-day function will therefore take two dates. Halls can be added, edited or removed here.
When to use it
Set a hall up before it can be booked, since a booking has to occupy one. Come back when rent or deposit figures change, when a tax rate changes, or to mark a venue inactive.
What you see on this screen
- Hall — the venue name, with an Inactive tag where it is no longer available for booking
- Day runs — the start and end times that define one booking day; where the end falls before the start, a note reads next day and warns that a one-day function takes two dates
- Capacity — how many the venue seats
- Default rent — the rent prefilled on a new booking for this hall
- Deposit — the security deposit prefilled, which is held rather than charged
- GST — the rate applied to this hall, or No GST
- Occupancy — how many dates are currently held, or No dates held
- Actions — Edit and Remove
Filters and actions
Add Hall opens the same form as Edit. It takes Name (required), an optional Short code, Day starts and Day ends (both required), Capacity, Default rent, Default deposit and GST on this hall. Note that the rent is treated as including the GST, so the customer pays exactly the rent you quote, and each hall can carry a different rate. An address can be searched or typed, and notes added. An Available for booking switch controls whether the hall is offered.
Removing a hall stops it being offered for new bookings; past bookings keep their history.
