Defaults and rules for scheduling: slot duration, calendar interval, buffer between slots, how far ahead bookings may be made, minimum notice, default start and end times, and working days.

What this screen is for

This is where the scheduling module's behaviour is configured. The scheduling section sets the default slot duration in minutes, the calendar time interval that booking times snap to when dragged, the buffer between slots, how many days ahead a booking may be made, the minimum notice required in hours, and the default start and end times. Working days are chosen below, which decides which days the schedule treats as available at all.

When to use it

Set these once when the module is first put to work, and revisit them when the shape of your day changes — new opening hours, a different lesson length, or a change to how much notice you require.

What you see on this screen

Scheduling holds Default Slot Duration (min), Calendar Time Interval (1, 5, 10, 15, 20, 30 or 60 minutes — booking times snap to this step when dragged), Buffer Time Between Slots (min), Advance Booking (days ahead), Min Notice for Booking (hours), Default Start Time, Default End Time and Working Days.

Booking Numbering sets the Prefix, Digits, Start at (a floor, never a reset, so a number already issued is not reused), Separator, an option to append the financial year in one of four formats, and a Suffix, with a preview of what the next number will look like. Hall booking numbering does the same on a separate series.

Cancellation Policy sets the Cancellation Notice (hours) within which cancelling is free, a Late Cancellation Fee, and a switch to keep the payment when a booking is cancelled — off, a cancelled paid booking is refunded to the customer's store credit; on, the whole amount is kept as income.

Halls and Venues switches on letting halls by the day, sets how many days' notice earns a deposit refund and lists the Function types the booking form offers, plus the Rules and Regulations that print on the application the customer signs.

Driving Test Bookings sizes the calendar block around the test — break before, assumed duration and rounding — and sets the pickup and drop travel charge as per kilometre or flat, with a road-distance factor and a round trip option.

Notifications and Automation covers auto-creating an invoice when a booking is confirmed, showing a booking column on invoice lines, and instructor settlements: whether this system creates them, whether they generate nightly, at what local time, and how far back lessons are settled from.
