What this screen is for
This screen records when an instructor can be booked. You choose the person, then build their week: each day takes one or more slots with a start time, an end time and optionally a particular location, and a day left with no slots is a day off. Saving applies the pattern. Below the weekly schedule, date overrides handle individual days that depart from it.
When to use it
Set the weekly pattern when someone joins the roster or their hours change, and add an override for a one-off — leave, a public holiday, or a day they are working unusual hours. The pattern here is what the calendar schedules against.
What you see on this screen
Weekly Schedule lists Monday to Sunday. Each day carries Add Slot and, beneath, the slots already set: a start time, the word to, an end time and a location selector offering Any location or one of your service locations. A day with nothing set reads No availability set (day off). Save Schedule applies the whole week at once.
Date Overrides covers the individual days that differ from the pattern. Add Override takes:
- Date — the day the override applies to
- Type — Block (Unavailable) to take hours away, or Open (Extra hours) to add hours the weekly pattern does not include
- Start Time and End Time — the hours the override covers
- Reason — free text, such as a public holiday or personal leave
Overrides already set are listed beneath, and where there are none the screen says so.
Filters and actions
The instructor selector at the top chooses whose availability you are editing; everything below it belongs to that one person. Back to Calendar returns to the timetable, where the pattern you have set determines which time is bookable.
