Chart of Accounts

The list of ledger accounts your books post to, each with its code, account group type, parent account, current balance and active status.

What this screen is for

Your chart of accounts is the structure every entry in the books posts against. Each row shows the account code, name, the type it belongs to (asset, liability, equity, revenue or expense), its parent account where it sits under one, its current balance and whether it is active. Counts by type sit across the top. You can search by code or name, filter by type and by status, open an account to see its details, edit it, or deactivate one you no longer want offered on new documents.

When to use it

Come here when you need a new ledger account before recording something that has nowhere sensible to go, when an account name or code needs correcting, or when you want to retire an account without deleting its history.

What you see on this screen

Six cards count the accounts you hold: Total Accounts, Assets, Liabilities, Equity, Revenue and Expenses. The table below carries:

  • Code — the account code, and the link that opens the account
  • Account Name — the name, with the description beneath it where one has been entered
  • Type — taken from the account group the account belongs to: asset, liability, equity, revenue or expense
  • Parent — the parent account shown as code and name, or a dash where the account sits at the top level
  • Balance — the account's current balance as the books hold it, in your company currency
  • Status — Active or Inactive
  • Actions — view details, edit, and a button that deactivates an active account or activates an inactive one

Filters and actions

Search by code or name narrows the list as you type; the cross clears it, as does the Escape key. All Types filters to one account type, and All Status to active or inactive accounts only. When a filter is on, a note says so and Reset filters clears everything at once. The footer sets how many rows to show — 10, 25, 50 or 100 — and pages through the results. New Account in the header creates one.

Status values

  • Active — offered when choosing an account on a new document or entry
  • Inactive — kept for its history but no longer offered for new entries
