What this screen is for
This is the record of every journal entry in your books. It counts total, posted, draft and deleted entries along with their total value, and lists each one so you can open it. You can search by entry number or description, filter by status, by source type and by date range, and export the list. Two quick filters matter for tidying up: one shows deleted entries, the other shows orphaned entries whose source document no longer exists.
When to use it
Reach for it when you need to trace how a figure reached the ledger, review entries still sitting in draft, or raise an adjustment by hand. Entries created automatically by invoices, payments and other documents appear here alongside manual ones, which makes it the audit trail for the whole system.
What you see on this screen
Five cards head the screen: Total Entries, Posted, Draft, Deleted (clicking it switches the list to deleted entries) and Total Value. The table carries:
- Entry # — the entry number, which opens the entry; a Deleted tag appears beside it where the entry is in the trash
- Date — the entry date, the date the entry is posted under
- Description — the narration written on the entry
- Type — what raised it, such as an invoice, a payment or a manual entry
- Amount — the entry's total debit, which for a balanced entry is also its total credit
- Status — draft, posted or void
- Actions — view; edit a draft; void a posted entry; delete a draft or voided entry; restore or permanently delete one already in the trash
Entry #, Date, Type, Amount and Status headers can each be clicked to sort by that column.
Filters and actions
Show Filters opens search by entry number or description, Status, Type and a Date Range picker, with Reset. Three chips sit below: Show Deleted, Newest First and Orphaned Entries (entries whose source document no longer exists), and Clear All appears with a count once anything is set. Export downloads the list; New Entry raises one by hand.
Voiding asks for a reason and is the only change allowed to a posted entry — the entry stays on record and its balances are reversed. Deleting keeps only the entry heading; the debit and credit lines are removed, so it cannot be undone.
Status values
- Draft — entered but not yet booked; it affects no balance
- Posted — booked into the ledger and counted in every report
- Void — cancelled after posting; the entry remains visible and its effect is reversed
