Goods Received Notes

Records what physically arrived against each purchase order, and tracks it through inspection to acceptance.

What this screen is for

A goods received note records a delivery against a purchase order. The summary cards follow the stages: draft, meaning pending inspection; inspected, meaning quality checked; accepted, meaning fully received; and a total, with the partial and rejected counts alongside.

Each note ties back to the order it fulfils and to the supplier who sent it.

When to use it

Raise one when a delivery arrives, before the supplier's bill is settled, so that what was ordered, what arrived and what was accepted can be compared. Notes left in draft mean deliveries that were received but never inspected, which is the usual reason an order still looks outstanding.

What you see on this screen

Five cards head the page: Draft (pending inspection), Inspected (quality checked), Accepted (fully received), Total GRNs with a count of the partial and rejected ones, and Vendors.

The table carries:

  • GRN # — the note number. Sortable.
  • PO # — the purchase order the delivery was made against.
  • Vendor — who sent it.
  • Received Date — when it arrived. Sortable.
  • Items — how many lines the note covers.
  • Status — where the note has reached.
  • Actions — the row's buttons, pinned to the right of the table.

Filters and actions

  • Search — above the filter panel.
  • Show Filters — opens the rest.
  • Status — All Status, Draft, Inspected, Accepted, Partial or Rejected.
  • Vendor — narrows by supplier name.
  • Received From and Received To — a date window.
  • Newest First / Oldest First — a chip that flips the sort direction.

Status values

  • Draft — the delivery is recorded but has not been inspected.
  • Inspected — quality checked, not yet accepted.
  • Accepted — fully received into stock.
  • Partial — only part of the delivery was accepted.
  • Rejected — the delivery was refused.
