Employee Balances

Shows what each employee still owes or is owed, with the total outstanding across the company and how many people carry a balance.

What this screen is for

This screen lists outstanding balances by employee. Three figures head the page: the total number of employees, the total amount outstanding, and how many people actually carry a balance. You can search by name or code, filter to outstanding only or settled only and by department, and sort from highest balance to lowest or the other way round.

When to use it

Before a payroll run, to see whose advances or other balances still need recovering, and at period end when you need the company's total exposure in one figure. It is also the quickest answer when an employee asks what they still owe.

What you see on this screen

Three cards head the page: Total Employees, Total Outstanding and Employees with Balance.

The table carries:

  • Employee — photo or initials, name and employee code. Sortable.
  • Department — the person's department, or N/A. Sortable.
  • Current Balance — what they still owe or are owed. Sortable, and the column the list is sorted on by default.
  • Status — read from the balance rather than stored.
  • Actions — open the employee record in a new tab, and Ledger, which opens the movements behind the balance.

Filters and actions

  • Search — by employee name or code.
  • Show Filters — opens Status (All Employees, Outstanding Only, Settled Only) and Department, with a Reset button.
  • Highest First / Lowest First — a button in the header that flips the sort direction.
  • Clicking a column heading sorts on it; clicking again reverses.

Status values

  • Settled — the balance is zero.
  • Outstanding — the employee owes the company, usually an advance not yet recovered.
  • Advance — the balance is negative, meaning the company owes the employee.
